Email Was Never Designed to Be Private

A standard email is closer to a postcard than a sealed letter. It passes through several servers between sender and recipient, and the sender name on the front is easy to fake. For contracts, payment instructions, HR matters, legal advice or medical information, that is an uncomfortable foundation.

S/MIME addresses both weaknesses using digital certificates issued to individual mailboxes. A signature proves the message came from the certificate holder and has not been changed, which is a strong defence against invoice fraud and impersonation, complementing anti-phishing protection. Encryption scrambles the content so that only the recipient holding the matching private key can open it.

The technology is built into Outlook, Microsoft 365 and Exchange Online and most mobile mail apps, so there is no new software for staff to learn. The work lies in issuing certificates, installing them on every device, publishing them so colleagues can find them, and renewing them before they expire. That is what VOWTECH manages.

Three Functions of S/MIME Email Security

Signing and encryption can be used separately or together. Certificate management keeps both working.

Digital Signatures

A signed message carries a cryptographic seal tied to the sender. The recipient sees a verification mark, and any change to the content after sending breaks the signature.

Message Encryption

S/MIME Secure Email Questions

S/MIME (Secure/Multipurpose Internet Mail Extensions) is a long-established standard that uses digital certificates to sign and encrypt email. Signing proves the identity of the sender and shows the message has not been altered. Encryption makes the content readable only by the recipient. Both functions are built into mainstream mail clients.
For signed mail, no: any modern mail client can read a signed message and most will display the verification. For encrypted mail, yes: you need the public certificate of the recipient, which is usually obtained by having them send you a signed message first. We help you onboard the external contacts you exchange confidential mail with.
TLS protects the connection between mail servers, but messages are readable on each server along the way. Microsoft 365 message encryption protects content through a service-based portal or rights policy. S/MIME encrypts from one mailbox to another using keys held by the users themselves, and adds sender verification. The approaches can be used together.
An expired certificate can no longer sign new mail, so renewals are scheduled ahead of time. If a device is lost, the certificate is revoked and a new one issued. Because old encrypted messages need the original private key, we keep securely archived key backups, in line with your wider data protection arrangements.
