Why IT AMC Prices Vary So Much
Two companies in Abu Dhabi can both ask for "an IT AMC" and receive quotes that are very different, and both quotes can be fair. The difference almost always comes from scope: how many people and devices are covered, whether there are servers, how often an engineer visits, how fast the provider must respond and what is excluded.
Before comparing prices, make sure every provider is quoting for the same thing. The quickest way is to give each one the same short inventory of your users, devices, servers, network equipment and sites.
The Main Factors That Decide the Cost
1. Number of users and devices
Desktops, laptops, printers and mobiles are usually the largest part of an AMC. More devices mean more maintenance, more patching and more support requests. Older equipment generally needs more attention than newer equipment.
2. Servers and network equipment
On-premise servers, storage, firewalls, switches and Wi-Fi access points need specialist skills and regular checks. An office that runs entirely on cloud email and cloud files usually costs less to support than one running its own file server, domain controller or ERP server.
3. Preventive maintenance visits
Most AMCs include scheduled visits for health checks, cleaning, updates and backup tests. Monthly visits cost more than quarterly ones. Ask exactly what happens during a visit and whether you receive a written report afterwards.
4. Response and resolution commitments
A contract that promises an engineer on site within a few hours, around the clock, costs more than one with next-business-day response. Choose the level your business really needs: a clinic or a 24-hour operation needs faster cover than a small office that closes at six.
5. Support hours
Business-hours support is the standard. Evening, weekend and 24/7 cover add cost because engineers must be available outside normal hours.
6. Number and location of sites
One office on Abu Dhabi island is simpler to cover than several branches spread across Mussafah, Khalifa City, Al Ain and Dubai. Travel time is part of the price.
7. What is excluded
Spare parts, software licences, new cabling, projects such as office moves and third-party vendor costs are normally outside an AMC. A quote that looks cheap often simply excludes more.
Common Pricing Models
- Per device: a fixed amount for each computer, server or network device. Easy to understand and to scale.
- Per user: a fixed amount per employee, covering all of that person's devices. Suits offices where staff use a laptop, a phone and a desktop.
- Fixed annual fee: one price for a defined environment. Common for small offices with a stable setup.
- Block of hours: a pre-paid bank of support hours used as needed. Flexible, but there is less preventive work.
None of these is automatically better. What matters is that the contract states clearly what each price includes. If you are still deciding whether a contract suits you at all, read our comparison of IT AMC and ad-hoc support.
How to Compare Quotes Fairly
- Send every provider the same inventory and the same list of requirements.
- Line up the scope side by side: devices covered, servers, network equipment, CCTV or attendance systems.
- Compare visit frequency, support hours and written response commitments.
- Check what is excluded and how parts, licences and extra work are charged.
- Ask who owns the documentation and passwords, and what happens when the contract ends.
Ways to Keep the Cost Down Without Losing Cover
- Retire very old machines before the contract starts; they consume a large share of support time.
- Move suitable workloads, such as email and file sharing, to cloud services that need less on-site maintenance.
- Choose quarterly instead of monthly visits if your environment is stable, and keep remote support for day-to-day issues.
- Combine IT, CCTV and attendance maintenance with one provider to avoid paying for several separate visits.
