First: Is It the Wi-Fi or the Internet?
Before changing anything, find out where the slowness is. Plug a laptop into the router or a wall network point with a cable and run a speed test. Then run the same test on Wi-Fi, standing next to the access point, and again at a desk far away.
- Slow on the cable as well: the problem is the internet line, the firewall or the router, not the Wi-Fi.
- Fast on the cable, fast near the access point, slow at the far desk: the problem is coverage.
- Slow everywhere on Wi-Fi, even close by: the problem is the access point, its settings or interference.
Those three tests take ten minutes and point you to the right group of causes below.
1. One Router Trying to Cover the Whole Office
Many offices still run on the single router the internet provider installed. Walls, glass partitions, lift shafts and metal furniture absorb Wi-Fi signal, so one box in a corner cannot cover a whole floor or a villa office. The fix is several business access points, mounted on the ceiling and cabled back to a switch, not more plug-in extenders.
2. Wi-Fi Extenders and Mesh Kits Built for Homes
Extenders repeat the signal over the air, which roughly halves the speed with every hop. They are fine for a flat, not for 20 people on video calls. Access points connected by cable give every area full speed.
3. Crowded Channels in Busy Buildings
In towers in Business Bay, JLT or Al Reem Island, your office can see dozens of neighbouring networks. When they all share the same channels, everyone slows down. Business access points can scan for the cleanest channels, use the 5 GHz and 6 GHz bands, and lower their power so that neighbouring access points in your own office do not fight each other.
4. Too Many Devices on One Access Point
Phones, laptops, printers, TVs, cameras and guests all compete for airtime. An access point that handles 15 users comfortably may struggle with 50 devices. Plan access points by the number of people and devices in each area, not only by floor size.
5. Old Devices Slowing Everyone Down
A very old laptop or printer that only supports older Wi-Fi standards talks slowly and takes up airtime that faster devices could use. Move printers and fixed devices onto cables where possible, and replace devices that are more than six or seven years old.
6. Guest Wi-Fi and Staff Wi-Fi on the Same Network
When visitors, staff phones and office computers share one network, a single phone backing up photos can slow down the accounts team. A separate guest network with a speed limit keeps business traffic fast and is also safer. This is a standard setting on business access points and firewalls.
7. The Internet Line or Firewall Is the Real Bottleneck
If the cable test was also slow, look upstream. Common causes are an internet plan that is too small for the team, a firewall that cannot inspect traffic at full speed, or cloud backups and updates running during office hours. Schedule large uploads after hours and check that the firewall is sized for your line.
8. Faulty or Poor Cabling
An access point is only as fast as the cable feeding it. Damaged patch leads, untested cable runs or a cable that negotiates at 100 Mbit/s instead of 1 Gbit/s will cap everything connected to it. Professionally installed and tested structured cabling removes this problem.
9. Heat and Power in the Comms Cabinet
In UAE summers a closed cupboard full of network equipment can overheat, which causes random slowdowns and restarts. Ventilate the cabinet, keep it tidy and put the router, switch and access points on a UPS.
When to Get a Wi-Fi Survey
If you have more than one floor, more than about 15 users, or several neighbouring networks, a Wi-Fi survey is worth it. An engineer measures signal and interference across the office, then recommends how many access points you need and where to mount them. It costs far less than buying equipment by trial and error.
Bringing It Together
Start with the three speed tests. If the cable is slow, fix the internet line or firewall. If the cable is fast but Wi-Fi is not, the answer is almost always properly placed, cabled business access points with sensible settings. VOWTECH designs and installs office networks and Wi-Fi across Abu Dhabi and Dubai.
